Who May Apply

Applicant organizations must have non-profit status. They may include, but are not limited to, public, private, charter or parochial schools (pre-kindergarten through university level) and other community organizations.

How Residencies Are Funded

The OAC and sponsor contribute funds to pay the professional fees of the artist or company. The OAC's primary sources of funding are through state and federal taxes. Sponsors are encouraged to obtain their local cash match from such sources as operating budgets, foundations, earned income activities, support groups, and other sources of governmental local, state and federal funding.

Artist Fees

Individual artists are paid a weekly fee of $1,200. Company fees are negotiated with the Arts Learning Office. Contact Chiquita Mullins Lee for the approved fee for the company you are interested in.

Writing Your Grant Application

Review the Artist in Residence grant guidelines and other sections of the OAC Guidelines. If you are a newer sponsor, as you develop your grant application, focus on the art discipline and rationale for wanting to work with a professional artist. After you have been approved for a grant, you will have the opportunity to consult with the Arts Learning Program Coordinator to discuss your ideas for the residency and review the variety of artists on the OAC Artist Roster online.  The final decision about your artist selection will be made with your Artist in Residence committee.

Experienced sponsors may directly contact an artist in the Arts Learning Artist Directory and involve him/her in designing the residency before the grant is submitted. Be prepared to have several conversations with the artist to ensure that the rationale, design and plan are strong. The Arts Learning Office can fund one planning meeting before the grant application is written.

Support Materials

All applicants must submit one set of support materials along with the Support Materials Checklist and Signature Form (which needs an authorized, original signature) within seven days of the grant deadline date. Applicants will receive an e-mail notification shortly after these materials are received.

  • Cover letter from school principal, executive director or project director of the applying organization.
  • At least five but not more than eight letters of support from key individuals involved in the planning and implementation of the residency.
  • Letter of commitment from the artist, if selected.
  • For a returning applicant, a copy of the sponsor's most recent OAC Final Report will be shared with our grant review panelists. You do not need to submit this. The OAC will supply a copy to the review panel.

Submitting Your Grant and the Grant Review Panel

  • Notify the OAC about your organization's intention to apply and to establish your organization's on-line account. This is best done in the fall before the deadline date.
  • Submit a completed application through OLGA by 5:00 p.m. on the February 1 deadline. At that time, the system locks and no further changes can be made to the application. No paper applications are accepted.
  • Attend the grant review panel. It is open to the public and it is a great learning opportunity! The panel meeting is held approximately six weeks following the grant deadline date. Your grant will be evaluated and scored, based on review criteria, by a panel of peers with specific expertise related to arts and education.

Grant Notification

  • Official notification of your grant award, along with your panel review comments and scores related to the review criteria categories, will be issued through OLGA as an email message. You will receive this information after the OAC Board ratifies the funding recommendations during its annual meeting in June. At that time, the grant award may be announced to your Artist in Residence Committee and the larger community. The OAC will also announce your award to your legislators and through its media list.
  • Once you learn of your grant award, re-confirm your local cash matches from designated sources. If you have not been awarded a grant award, contact chiquita.mullins-lee@oac.state.oh.us, and remember your planning efforts have not been in vain. Chiquita can provide advice that will help you strengthen your application based on the panel review comments. She may also suggest other possible funding opportunities.
  • When resources permit, the Arts Learning Promoting Creativity Conference will be scheduled and the date should be saved. The conference is usually held in September. The on-site coordinator should secure the date on his/her calendar, as well as on the calendars of the principal or director. All three individuals are required to attend. Up to three other members of the Artist in Residence Committee are encouraged to attend.
